How To Pay Fees

picture of boy diving from pool sideHave you considered setting up an electronic transfer from your bank account direct to the WFDC account?   Once done, every future payment for term fees, dry land fees, ASA fees and all those competition entry fees will be simple and easy to make from your home or work computer screen at a time that is convenient to you.   Ask the club officers for the required details to set up your transfer at the next pool session.

Once cleared, your payment will appear on the club's statement which can be verified online.   Please drop a quick email to admin@wfdc.org.uk to let us know to look out for your payment on the statement.   You do NOT need to quote your own personal bank account details in this email.   We will issue a club receipt and confirm the number by way of reply to your email.   The paper version can be handed to you or your child at the next pool session after the payment is checked.

Fees can also be paid during normal weekly diving sessions to club officers.   You will be issued with a receipt as proof of payment.

Alternatively, fees (cheques only) may be sent to The Treasurer.   Please write the diver's name and the session they attend on the back.   A receipt will be given to you at the first session the diver attends in the new term.

Unless parents contact us we will assume that anyone who has not paid their fees by the end of the current term does not wish to continue with the club.   Their child's place on the next term is at risk of being offered to the next person on our waiting list.

Fees Collection Policy Statement

9th June 2011 - Parents of WFDC club members will be aware that deadlines for fees collection are now being more strictly enforced.   A short explanation for this is offered.

  1. the club has some of the lowest fees in London but costs do not remain static
  2. the committee strives to delay fee increases for as long as possible and also to ensure that any unavoidable increase is as low as possible
  3. to achieve this the committee needs to i) maximise the income of the club using the limited number of places available and ii) ensure a constant revenue stream across terms
  4. there has been a problem with some divers leaving but not telling the club for several weeks into the new term so that a fee generating place is lost to the club's coffers
  5. late and lost payments make for a very unpredictable income stream which then makes budgeting very difficult
  6. the relatively low number of members (approx 60) means that every unrealised termly fee makes for quite a significant gap in our cost/income ratio
  7. we have a waiting list of new divers which means that every place not taken up costs the club real money
  8. the club is run by just a few volunteers who would ideally like to devote their limited available time to work more usefully for the benefit of the club and its members BUT the effort needed to chase late fees significantly and negatively affects their ability to achieve this aim

Given all of the above, the club committee has decided it now needs a definite financial commitment to the next term from all parents and this MUST be received by the last day of the old term.

The Membership Secretary then has the entire holiday period to contact divers on the waiting list to ensure the club fills every available place from day one of the new term.

The new policy on fees merely brings WFDC into line with all other sports clubs, leisure centre swimming lessons and activities such as ballet lessons which are ALL far more rigorous in collecting fees at the end of a current term to reserve a place on the next term.

The committee trusts that parents will understand the reason for the new fees collection regime which aims to strengthen the club's position and ensure a stronger future for diving in Waltham Forest.

Updated Fees Collection Policy Statement

Waltham Forest Diving Club logoFebruary 3rd 2012 - The following explanation is offered to parents / carers about the need for WFDC to tighten up the fee collection process.   The Club Committee hope everyone will understand and appreciate the need to take this approach.   If any one person recognises aspects of their own situation in the following then please be assured that this is not aimed at you in particular.   The Club Committee has decided to generally tighten up the whole area of fees collection because the process has not been as clearly implemented as it should have been.

From Summer term 2012 onwards your child will NOT be allowed to dive if fees have not been received by the start of the new term.   If this causes any parent genuine short term hardship then of course we will discuss a limited grace period for slightly delayed payment by agreement.   An approach about such a concession MUST be made to the Club during the two weeks before the end of the current term when the next term's fee payments are being collected.

The club tries to keep fees to a minimum for the benefit of all our members which helps to ensure the widest participation. Budget planning to cover our significant costs such as pool hire, dry land gym hire, coaching expenses, competition fees and many other general administrative outgoings has become very difficult over the last year.   In recent months some parents have asked for refunds or fee reductions on the next term in compensation for their children being unable to dive for several weeks during a term.   Reasons cited have included studying for exams, doing another school based activity or a performance affecting injury sustained outside the club.   This means our income stream has been inconsistent.   When term fees that have already been banked then get refunded it makes meaningful budget projections impossible to achieve.   This could potentially put the club at financial risk.

The Club Committee sympathises with all these situations and has until now accommodated such requests.   However, the Committee has decided that from Summer term 2012 fees relating to missed sessions during term (for whatever reason) can no longer be refunded nor can the next term fees be reduced to compensate for any missed sessions.   In reality this is only properly enforcing the Fees Collection Policy agreed by the Committee in June 2011.   If you want to retain your child's place then it must be paid for.   This is no different to other activities such as swimming lessons and ballet classes.   Our club just cannot afford to lose revenue.

In summary, once paid, term fees CANNOT BE REFUNDED.   If your child is taking a study break and you do not want to pay to retain their place then it will be offered to the next in line on the waiting list.  If you do choose to let your child's membership lapse for a term then as a special concession to valued previous members you will get priority to return at the start of the next term IF a place becomes available.   If you do want your child to return after a short break then this must be communicated to the club in good time and the fees paid before the first session of their first term back.

The WFDC Committee regrets the need to be stricter on fee payment but the efficient administration of the Club depends on regular and timely income to match our many outgoings.
